Update and Clarification of Housing and Roommate Selection Processes for 2024-25

Dear TU Students and Families,

As many of you may know, Thomas University is in the process of upgrading its data management systems to a newer and more robust platform. It’s inevitable with changes of this scale that some things won’t go quite as smoothly as one might hope. As it turns out, one such bump in the road has occurred with implementing the new housing and roommate selection interface; a situation that has been frustrating for students, parents, and for the University.  For this, I apologize. I know that you are all as anxious as we are to get your housing situated for next year, so rather than delaying things any further while we work the bugs out of the system, we’re going to switch to Plan B and get this done old school style.  Here’s how we’re going to proceed:

For Housing:

New Students

If you have completed your housing application, signed the housing agreement, and paid your housing deposit, you have completed all of the necessary steps to secure a space in housing for Fall 2024.

If you have NOT completed any of the following steps; completed the housing application, signed the housing agreement, or paid your housing deposit, you must do immediately.  These forms can be found in your Hawklink account.  Please contact your Admissions Counselor if you require assistance.

New student room and roommate placements will be made in the Pinetree residence hall in the order in which they are received.  If those facilities fill before all students who want housing have been placed, those remaining students will be placed into overflow housing.  Students who will be placed into overflow housing will be contacted by the Dean of Students with further instructions regarding room and roommate placement as appropriate to the overflow facility.

Returning Students

If you have completed your housing application, signed the housing agreement, and paid your housing deposit, you have completed all of the necessary steps to secure a space in housing for Fall 2024.  Move on to the room and roommate selection portion of this message.

If you have NOT completed any of the following steps; completed the housing application, signed the housing agreement, or paid your housing deposit, you must do immediately.  These forms can be found in your Hawklink account.

Returning students must complete ALL of these steps by April 15th in order to participate in the room and roommate selection process.

For room and roommate selection (returning students only):

Roommate selection for returning students will occur on April 22nd.  In order to be eligible to participate in roommate selection, students must:

  1. Complete all steps of the housing process noted above
  2. Email the Dean of Students from your TU email account by April 15th with a list of your preferred roommates, including the full name and class standing for each. Please note that all students listed must have completed the housing process noted above.  Incomplete submissions or submissions naming students who have not completed the housing process are not valid and will not be accepted.

Each student who has completed all of the above steps for both Housing and Roommate Selection will be issued via their TU email account, a time slot to participate in the April 22nd roommate selection.  If a student is unable to attend during their assigned time slot, they may designate one of their intended roommates to attend in their place by emailing the Dean of Students from their TU email account no later than April 20thStudents who fail to attend during their assigned time slot and have not designated a roommate to attend in their place will forfeit their time slot and will be last to pick.  Failure to check your email is not an excuse for failing to attend roommate selection at your appointed time.

Room selection will be prioritized by year and class rank, with rising Seniors (current Juniors) picking first, followed by rising Juniors and rising Sophomores.  Housing selection will begin with the Magnolia dormitories.  If those facilities fill before all students who want housing have been placed, those remaining students will be placed into overflow housing.  Students who will be placed into overflow housing will be contacted by the Dean of Students with further instructions regarding room and roommate selection as appropriate to the overflow facility.

Thank you for your continued patience as we work through this transition.  If you have any questions or require further assistance, please contacting our Housing office at housing@thomasu.edu.

Sincerely,

Dr. John Meis
Provost

TU Sponsored Alternative Housing

University-sponsored alternative housing is available in Thomasville due to the large demand for University housing.

Each room is assigned two students and is furnished with a television, mini fridge and microwave.  University transportation is provided to this location as well as the Pinetree, Magnolia and Forbes campuses.  The facility has a pool and grills for use by students.  University Resident Assistants are also located on site to provide support and assistance to TU students at this facility.  The cost for this option is $3,250 per semester.

Students assigned to Alternative Housing should plan to purchase the 18 meal/week plan as kitchen services are not available.

Housing Assignments

Accepted students are able to log in to the TU Student Portal (HawkLink) and complete a Housing Application and pay the reservation fee.

On-campus housing is assigned on a first-come, first-serve basis. Although an applicant may request a particular dorm, there is no guarantee that their request can be fulfilled because there are several factors that go into assigning/placing a student in a dorm. Students interested in housing should complete the housing application in HawkLink, including the $300 room reservation fee, as soon as possible. Space is limited to the first 134 completed applications.

University-sponsored alternative housing has been available for students.  We anticipate this will remain an option during the upcoming year since as we to have a large demand for University housing.
