Maintenance Assistant

Core duties and responsibilities

Office Operations Support:

Answering and directing phone calls, taking messages, and greeting visitors.

Managing mail, emails, and correspondence

Maintaining organized filing systems, both digital and physical.

Ordering and managing office supplies.

Scheduling and coordinating meetings, appointments, and events.

Preparing and editing documents, presentations, and reports.

Handling expense reports and assisting with basic bookkeeping tasks.

Managing and updating company calendars and databases.

Communication and Coordination:

Exhibiting polite and professional communication in all interactions.

Liaising with internal and external clients and vendors.

Coordinating travel arrangements for staff members as needed.

Project and Task Management:

Assisting with the execution of various projects and tasks as assigned.

Prioritizing and managing multiple tasks and projects simultaneously.

Essential skills and qualifications

High School Diploma or GED Equivalent

Proven Administrative or Office Experience

Computer Proficiency: Strong knowledge and experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Familiarity with other office management software and data entry systems.

Excellent Communication Skills: Both written and verbal communication are crucial for effective interaction with colleagues, clients, and visitors.

Strong Organizational Skills: Ability to maintain efficient filing systems, calendars, and manage various tasks.

Time Management Skills: Ability to prioritize tasks, meet deadlines, and work efficiently.

Attention to Detail: Meticulousness in handling administrative tasks and ensuring accuracy.

Customer Service Orientation: Ability to provide a positive and welcoming experience for visitors and clients.

Ability to Work Independently and as Part of a Team: Successful administrative assistants can effectively manage their own workload and collaborate with colleagues.

Discretion and Confidentiality: Handling sensitive information with the utmost discretion and professionalism.

Problem-solving Skills: Ability to anticipate needs, troubleshoot issues, and adapt to changing priorities.
