Business Office Assistant
GENERAL DUTIES: The Business Office Student Work Study is responsible for performing accounting and clerical tasks related to the efficient maintenance and processing of accounts payable and student accounts receivable
SPECIFIC DUTIES
General
- Provide Customer service to faculty, staff, students, and visitors.
- Assist with the Mail Room duties.
- File invoices and documents.
- Performs other duties as assigned by the immediate supervisor or other staff members.
Accounts Payable
- Sort and match invoices and check requests.
- Correspond with vendors and respond to inquiries.
- Ensure adequate control over outgoing vendor payments.
Spirit Shop
- Make sure Spirit Shop and/or inventory storage is neat and orderly at all times.
- Support Spirit Shop activities on various weekends and game days to assist campus community with purchases.
- Fill and mail out online orders.
- Ensure adequate control over inventory and sales proceeds.
Accounts Receivable
- Completion of FERPA training
- Produce and distribute correspondence, memos, letters, faxes, and forms.
- Ensure adequate control over payments received through the mail or in-person.
QUALIFICATIONS
Academic/Professional:
- At a minimum, the Business Office Student Work Study must possess a high school diploma. Enrollment in TU’s baccalaureate in business administration or accounting is preferred.
- General knowledge of accounting procedures, accounts payable, accounts receivable, cash handling/control procedures.
- Knowledge of relevant computer applications and proficiency in data entry.
- They should be able to work with detail, check accuracy, make visual comparisons, and work well with people.
Personal:
- Excellent written and oral communication skills
- Strong time management and organizational skills.
- They must understand, and have a commitment to, the mission of Thomas University as it relates to Business Services.
- They must be able to organize and prioritize their duties and must show attention to detail and accuracy.
- They must be able to demonstrate the ability to form and maintain professional, but caring, relationships with students, parents of students, other employees, and those with whom the institution has other business relationships.
- Maintains confidentiality and compliance with FERPA.
- Works a flexible schedule as needed and understands that evening/weekend work may expected
- They must maintain a professional attitude and exhibit socially acceptable behavior and appearance while representing the University.
- They should be willing to continue educational, professional and personal development.

TERMS OF EMPLOYMENT:
Part-Time Work Study Position-Hours not to exceed 20 per week
