Advancement Services Coordinator

SUPERVISOR: Vice President for Institutional Advancement
HOURS: Full-time, non-exempt
JOB SUMMARY
The Advancement Services Coordinator supports all areas of Institutional Advancement (IA). The incumbent coordinates prospect and donor data, research, stewardship, events, communications pieces and more. Also serving as business manager for the IA office, the incumbent requires interpersonal skills, multi-functional skills, multi-tasking and tech-savviness.
ESSENTIAL JOB FUNCTIONS
- Coordinating data entry, integrity and reporting from IA customer relations management (CRM) software, including maintaining standard operating procedures (SOPs)
- Researching donors and prospects, including tracking relationships
- Coordinating donor stewardship
- Planning and coordinating all IA-related University events
- Coordinating procurement of goods and services; monitoring IA budget, sending timely donor thank you letters and subsequent billing
- Work with IA staff team to produce donor “modeling and predictive analytics
- Maintaining annual business plan and working calendar for IA programs
- Working with the marketing department to create, and design and production of IA print and digital communications
- Supervising work study students assigned to IA office
- Maintaining IA physical and digital files
- Serving as customer service representative for the office, greeting guests and answering the phone
- Other duties as assigned
QUALIFICATIONS AND SPECIAL SKILLS
- Excellent oral and written communication skills
- Excellent detail and organizational skills
- Ability to represent the advancement department professionally
- Capable of working with sensitive information with complete confidentiality
- Strong interpersonal and problem-solving skills
- Ability to simultaneously multi-task the multiple functions of the advancement office
- Creative, innovative, resourceful, and adaptive to change
- Proficient in Microsoft Office Suite
- Computer literate in customer relationship management (CRM), desktop publishing and reporting applications
EDUCATION & EXPERIENCE REQUIRED
- Associates degree and 2 years work experience required
PREFERRED
- Bachelor’s degree
- Flexibility to work occasional evenings or weekends to assist with events, as needed
