Full-time exempt position. This position is a Monday – Friday – 40 hours a week.
TERM OF EMPLOYMENT:
The Assistant serves at the pleasure of the President, with an annual performance evaluation by the President.
MISSION:
To develop and maintain the Office of the President at Thomas University in an effective and efficient manner.
GENERAL DUTIES:
The Assistant to the President assists the President in achieving the goals and objectives of Thomas University as stated in the bylaws, strategic plan, and the (needs of the President).
SPECIFIC DUTIES:
- Maintain the administrative policies and procedures for the University and make recommendations for needed changes.
- Serve as a member of the President’s Administrative Team.
- Liaison to the Board of Trustees, vice presidents, departmental division heads, faculty, professional administrative staff members, and all University employees.
- Coordinate meetings with faculty, staff, students, and the general public as directed by and based on the needs of the Office of the President.
- Prepare and coordinate all Board of Trustees meetings; secure and distribute Board information, agendas, mailings, and prepare meeting minutes.
- Prepare and maintain all correspondence and reports required by the President.
- Schedule travel arrangements and prepare complete itineraries for all official functions of the President.
- Maintain confidential personnel records when required.
- Actively participate in the overall planning and operations of the University.
- Perform other duties as assigned.
QUALIFICATIONS
Academic/Professional:
- The Assistant to the President should possess a preferred earned bachelor’s degree in business administration or demonstrate evidence of equivalent training and experience that may substitute for the degree.
- The Assistant to the President should have at least five years of experience in administrative duties, responsibilities, and decision-making.
Personal:
- The Assistant to the President must have an understanding of, and commitment to, the mission of Thomas University as it relates to Administrative Services.
- The Assistant to the President must demonstrate the skills necessary to communicate effectively with university personnel and external agencies, and the ability to develop and communicate policies and ideas clearly, concisely, and effectively in both written and oral form, in both formal and informal settings.
- The Assistant to the President must maintain a professional attitude and exhibit socially acceptable behavior while representing the University.
- The Assistant to the President should be willing to continue educational, professional, and personal development.
- The Assistant to the President must possess strong proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and the full Microsoft Office suite. Some graphic design experience is preferred.
- The Assistant to the President must be able to draft professional correspondence, including thank-you notes and formal letters, with correct grammar, spelling, pronunciation, and attention to detail. Meticulous attention to detail is required.
