JOB DESCRIPTION:

JOB DESCRIPTION:

JOB DESCRIPTION:

RESPONSIBILITIES:

JOB DESCRIPTION:

• Freight Invoice Processing –requires working in the current 3rd party freight system to approve and code invoices to the proper general ledger account. A weekly billing (Weekly Paid Report) is exported to an excel spreadsheet for review, coding and uploading into the SAP system each week. The majority of freight bills are mailed directly to the 3rd Party vendor, but for freight invoices received in house, scanning to the 3rd party vendor for uploading into their system is required. Freight bills will be placed into two separate modules of the system – 1) module requiring review and approval of the individual invoice and 2) module containing invoices that do not need approval. Once a freight invoice is approved it moves to the approved module. Data contained in the 3rd party system’s approved module must be downloaded each week and put into an excel spreadsheet. The spreadsheet is used to lookup the coding for the invoices on the weekly paid report. This spreadsheet also serves to track any unpaid invoices.

• Material Master Updates –the current position populates records within the material master for new parts which are created by the engineering department, secures pricing for the new material from the purchasing buyers and forwards the material number and price to finance for price update into the material master. This role will be expanded to encompass additional material master updates.

• Unissued Materials Evaluation - responsible for extracting various data from SAP and creating a sole "Unissued Materials" spreadsheet to be evaluated. The purpose of the spreadsheet is to allow for project tracking. It assist in the evaluation of material availability and where the material is on the production floor.

• Materials Evaluation – evaluating materials prior to release of requisitions for purchase of materials. This evaluation is primarily done for steel. This requires reviewing purchase requisitions for a project to the drawings and determining quantities to be purchased.

• Approval of Subcontract Invoices – requires obtaining the shipping documents for the purchase order, processing the goods receipt to the PO, create and process deliveries for the sales orders/projects and issuing the lower level materials to the purchase order.

Support Role
• Support production planning personnel with job functions based on the current workload for the planning and purchasing departments.

Backup Role
• Production labor entry - serve as secondary backup for data entry of production employee timesheets into SAP. Additionally, must balance those hours entered to the hours entered into the payroll system. Maintain a spreadsheet of all the direct and indirect hours for use in generating utilization reports to management.

• Create and Assemble Production Order Packages - this consists of collating engineering drawings, bill of materials (BOM's), production orders and other documents into packages which are provided to Production for execution. From the work order, W3T#'s are looked up in SAP. The drawing number and the Waukesha drawing library are referenced on the work order. The drawing is then printed. The drawings and work orders are placed into plastic bags which are referred to as travelers. They are then sorted by work center and returned to Production Control
